New: Meet volunteer policy
Over the past two years of hosting meets, our team has been incredibly fortunate to have such a strong group of parent volunteers who consistently step up to help. Your time, flexibility, and willingness to jump in (often on short notice) have made it possible for us to host successful meets and provide great experiences for our swimmers and the visiting teams.
As we continue to grow, we are rolling out a more structured volunteer system designed to better support our meets and our families. This system has two primary goals: first, to ensure volunteer roles are organized and filled ahead of the meet, rather than during the busiest moments when we are managing entries and final setup; and second, to create a more equitable approach so that volunteer responsibilities are shared fairly across all families.
Local meets have so many advantages - $0 travel expenses, home cooked meals after the meet, a good night's sleep in your own bed... But we can't run meets alone. Swim meets only happen through the combined efforts of our staff and our volunteers (officials, timers, hospitality, announcers, etc).
The outline below explains how this new system will work.
Volunteer Sign-Up
- Volunteer sign-up will open when meet registration opens.
- Parents may select the volunteer sessions they prefer (the sooner you sign up, the more likely your preferred spot will be available).
- Volunteer sign-up will close when meet registration closes.
Fair-Share Volunteer Requirement (Per Meet)
- Families are responsible for providing one volunteer session per swimmer entered in each meet.
• 1 swimmer in a meet = 1 session
• 2 swimmers in a meet = 2 sessions
• 3 swimmers in a meet = 3 sessions
Assignment of Open Volunteer Spots
- After volunteer sign-ups close, any unfilled timing spots will be assigned and parents will be notified via email.
- Parents who already selected their fair-share volunteer sessions in a given meet will not be assigned additional sessions.
- Assignments ensure all sessions are fully staffed in advance.
Assignment Priority
- When assigning timers, we will reference the season-long master volunteer spreadsheet.
- Assignments will begin with families who 1) have not completed their fair-share assignment for the current meet, AND 2) have completed the fewest volunteer sessions that season.
- This accounts for families who volunteered for additional sessions earlier in the season.
Volunteering More Than Required
- Parents may volunteer for more sessions than required at a meet.
- All completed sessions in excess of your fair-share volunteer sessions will be recorded on a season-long master volunteer spreadsheet.
- Families with more completed sessions will be
less likely
to be assigned volunteer sessions at future meets, though fair-share assignments are still possible if meet needs require it.
Volunteer Credits
- All timers, whether they choose their slot or are assigned, receive a credit equal to one individual event entry fee per session worked.
- Example: $8 event fee = $8 credit per session. Two sessions = $16 credit, etc.
- Flat-fee meets, like Block Party, will assign credits based on the total cost/entry limit. So a $25 Block Party meet with a 5 event limit = $5 credit.
- Volunteer credits are applied to your team account, and will offset the next applicable charge (dues, entry fees, etc - whichever comes first).
No-Show Policy
- No-shows significantly disrupt meet operations.
- A $100 fine per missed session will be charged to your card on file.
- The intent is accountability and reliability, not punishment or revenue.
Officials
- Parents who volunteer as officials will not receive timing assignments, as long as they are officiating at the meets their swimmers are participating in.

FAQs:
Is the volunteer requirement per season or per meet?
Per meet. Each swimmer entered in a meet requires one timing session for that meet.
What does that look like over a season?
If your swimmer attends 3 team hosted-meets, you are responsible for 3 total volunteer sessions across the season for that swimmer.
I will be out of town and can't time. Can I send someone else to time in my place?
Absolutely. These volunteer requirements can be met by a parent, sibling, friend, etc, just be sure to sign them up in advance.
What if I don't know how to time?
Timing is easy and fun. It's a great way to be poolside to cheer and help the swimmers. We provide training before each session, and there is always a Head Timer to come assist if things go wrong.
What if I volunteer extra at one meet?
Great! All sessions are recorded. Volunteering extra early in the season makes you less likely to be assigned sessions at future meets, though fair-share assignments are still possible, if needed.
How are assignments decided?
Assignments are based on a season-long list, starting with families who have completed the fewest volunteer sessions.
If I already signed up, can I still be assigned?
No. Parents who select volunteer sessions will not be assigned additional sessions at the same meet. However, if you sign up for an alternate role, like Marshall or announcer, you may be reassigned as a timer, if needed.
Do I get anything for volunteering?
Yes. Each session earns an entry-fee credit, and extra volunteering earns recognition such as raffle entries for Volunteer of the Season consideration. Timers get a seat on the pool deck, and meet hospitality is provided throughout the sessions that you volunteer. New volunteers also receive a volunteer t-shirt. Also, our experience has shown us that parent involvement is directly related to swimmer outcome: They will match your level of commitment and engagement!
What happens if I don’t show up?
Missed sessions result in a $100 fine. This ensures fairness and reliability for the whole team. The fine is steep, but the goal is timers not $$.
What if the meet needs extra volunteer coverage?
If there is a situation where we have more volunteer slots than swimmers, we will ask parents to voluntarily sign up for additional sessions rather than assigning more than the fair-share number of sessions. These instances will hopefully be rare, and we will do our best to secure volunteers from outside of our organization.
Why are we changing the volunteer system if things have worked well in the past?
Our families have done a great job stepping up to cover volunteer needs, and we truly appreciate that support. As we continue to grow, this updated system is intended to encourage volunteers to sign up in advance, help distribute responsibilities more evenly across all participating families, and recognize those who consistently contribute.
We will evaluate how the system works at the end of the season and make any necessary adjustments. At this time, our volunteer expectations remain more flexible than some other swim team volunteer policies, which require a volunteer for each session of swimming or a total number of hours per year. Our goal is to maintain a system that is organized and fair, while still keeping the overall approach manageable for families.
